Reminder: Changes made to Chart of Accounts beginning this fiscal year

Accounting Services at Western Washington University would like to remind financial managers, budget authorities and all others with fiscal duties that starting July 1, 2016, the 10200 fund for state-funded transactions is being replaced with new fund and Fast Index codes, and that Fast Index codes beginning with “FOxxx” will be unavailable for FY17 use.

Over the last couple of months, the Chart of Accounts project team has reached out via various written communications to targeted campus stakeholders (such as Travel and Expense Management, ESM and Journal Voucher upload users). Additionally, several communications were sent to individuals identified as maintaining sub-systems that contain COA data, such as for interdepartmental billing. Notifications about the upcoming changes are also being published in the Finance Footnotes, HR Today and Western Today.

How to identify new codes:  Accounting Services has a crosswalk of the Fast Index codes that are being changed and the FOAPAL elements associated with the new Fast Index.  The “Fast Index/Fund 10200 Split Crosswalk” can be found on the Training & COA Changes website under the Resources and Training Materials section. More information about changes specific to each department are available from the relevant division or college administrative office.

A training program has also been developed by the COA Training Subteam that includes various resources, including online guides, printable documents, short videos and individual and classroom training. All resources and details will be posted on the new Training & COA Changes section of the Business & Financial Systems website. This web page will continue to evolve as new resources and information become available.

For answers to questions related to the COA changes, contact your division budget director or Accounting Services.
